Scheduling: Holidays, Responsibilities, and Expiration Dates

Starting out with a blank calendar for 2014, I am being intentional about adding items and activities this year. Seeing how easy it is to fill the space, I want only the best items to land on my calendar.

If I overextend our family, then we get cranky, tired, and less effective. Allowing time for spontaneous trips to the park or entertaining at home, I need to keep plenty of margin space in our schedule.

Using the Planning for Success series from January 2013, I am slowly adding items to my calendar. Knowing that everything is recorded in one place frees me from wondering if I am missing something. By writing and scheduling these items, I can consult our calendar knowing that the planning has been done.

Though I took the entire month of January last year and scheduled one theme on my calendar each day, I am grouping similar items together this year. With my calendar selected and printed, I am verifying or adding the following items to prepare for a successful 2014:

1. Include Holidays: Planning for Success – Day 15

My calendar of choice includes most holidays, but non-Federal holidays, like Groundhog Day, Daylight Savings Time, and Pearl Harbor Day, are not always listed. To add the holidays our family honors and celebrates, I use these two additional lists to record the holidays and special days on our calendar:

    • No Frills Calendar
    • Holiday Calendar

2. Set School and Work Activities: Planning for Success – Day 8

Since we have chosen a private school education for our older children, we are tied to the school activities listed on the school calendar. These activities include science fair, history fair, field day, field trips, special days, and volunteer opportunities.

Though my volunteer responsibilities have been limited, I choose to help my children’s teachers on a weekly basis. These activities are listed on my calendar to prevent over-committing or double booking.

As work activities arise for Paul, I add those to the calendar. These entries might include parties, travel, conferences, early meetings, or late evenings. Most of these types of activities come up throughout the year, but any that I know of at the start of the year get added to the calendar.

3. Record Membership Expiration Dates: Planning for Success – Day 4

Finding valuable benefits in having annual memberships, our family invests in these money-saving options. Currently, we only have one active membership. Our zoo, recreational district, and garden memberships expired this past summer. Our science membership is still active and will be renewed this year.

In seeking memberships, I keep watch on the daily deal sites (like Groupon, LivingSocial, etc.) for discounted memberships with reciprocal benefits. Reciprocal benefits means that members gain access into venues in addition to the membership location. I will share, in another post, how we chose our science membership and the benefits we receive.

4. Note Daily Deals Expiration Dates: Planning for Success – Day 11

For any daily deals I have purchased, I record the expiration dates on our calendar. I also add a note in the top right corner of each month on my calendar indicating available deals leading up to the expiration date. This way, when I am looking for a family activity, I can easily see the reminder to use any deals purchased.

Not only do we purchase family activities and memberships, but also restaurant and theatre deals for date nights. All these deals come with expiration dates which get noted on our calendar for use before they expire.

5. Highlight Contract and Subscription Expiration Dates: Planning for Success – Day 9

Our home is reaching the 10 year mark. As we had our home built, we still have some warranties that are in effect. With the expiration date of warranties closing in, I am scheduling inspections of those items prior to the warranty expiration dates.

Other items to include are cable, phone, insurance, medications, newspaper, and magazine expiration dates.

In planning for 2014, I plan to succeed by using time wisely recording holidays, responsibilities, and expiration dates. For more details of what items to include in each category, please refer to the Planning for Success links where I recorded detailed lists and suggestions.

Taking time to plan for success, I will continue to review and re-post the links from the 31 Days of Planning for Success series last year. How to Organize Your Daily Deal Vouchers

As a subscriber to multiple daily deal sites, I love the deals available. When I purchase one, the voucher gets deposited into that daily deal site’s account. When I want to use that voucher, I access my account, print, and redeem.

If I only had one account, then I would just access that daily deal site. However, I purchase deals from multiple daily deal sites: Groupon, LivingSocial, and Plum District.

The Problem

With multiple deal sites, I must keep track of when deals expire and which accounts holds which purchase. When stretching your dollars and using daily deals sites for great deals, you may spend more time staying organized than you want.

For example, I planned an outing to a bounce house place for which I had a voucher. I went to Groupon, logged in, viewed my vouchers, and found that the bounce house deal was not purchased through Groupon. So, I logged out, signed into LivingSocial, viewed my vouchers, found the right one, printed, and then logged out.

This process involved lots of steps and wasted time to find the voucher I needed. I knew there had to be a better way to using time wisely.

A Solution

In looking for a solution without creating a spreadsheet to keep up, I read about Couptivate, a site that captures all your daily deal vouchers and holds them in one account. After taking the tour on their site, reading about their encrypted security, and verifying free registration, I signed up.

Upon creating a new account using my name, e-mail, and password, I landed on the My Accounts page listing all the available daily deal sites.

As of the writing of this post, Couptivate includes the following 13 daily deal sites:

  • Groupon
  • LivingSocial
  • Bloomspot
  • Lifebooker
  • HomeRun
  • KGB Deals
  • EverSave
  • Tippr
  • Plum District
  • Travel Zoo
  • Yelp
  • Gilt City
  • BuyWithMe

I selected Groupon and entered my Groupon user name and password. Couptivate accessed my Groupon account and added my vouchers. I then selected LivingSocial and entered my LivingSocial user name and password. After a moment of verification, Couptivate added those vouchers.

Now I can log in to my Couptivate account to view and print all my daily deal vouchers in one place. As I purchase more deals, I only need to log in to my Couptivate account, and Couptivate captures new vouchers before loading the MY DEALS page.

TIP: If you do not see a newly purchased voucher, you can select IMPORT MORE DEALS to refresh the page.

Benefits to this Solution

Couptivate allows you to sort your vouchers by expiration date, deal site, or category. In your account settings, you can choose one or both e-mail notifications:

1. A monthly voucher summary and/or

2. Expiration date reminder of your choice of 1, 2, 3, 4, 5, 6, 7, or 20 days before the deadline.

SIDE NOTE: If you use multiple e-mail addresses (i.e., personal, junk, business, etc.) and have more than one account for Groupon or LivingSocial, then you will need a separate Couptivate account for each e-mail address.

For example, if you have a Groupon and a LivingSocial account with your personal e-mail address and another Groupon account and LivingSocial account with your junk e-mail address, and a Groupon account for your business, then you will need three Couptivate accounts: personal (1), junk (2), and business (3). At this time, Couptivate only allows access to one account per daily deal sites.

In using time wisely and stretching our dollars via daily deal sites, I keep my vouchers organized through the free service of Couptivate. Taking the fear out of forgetting to use a voucher, Couptivate offers e-mail notifications and holds all my vouchers for my e-mail address in one place. With many daily deal vouchers and accounts, Couptivate saves me time and energy while using time wisely.

Container Organization

Using small spaces to keep similar items together helps me to stay organized. The types of containers vary from shoe boxes to fabric cubes. I try to reuse items like wipe containers, baby jars, cardboard shipping boxes, the clear lids on a stack of new CDs or DVDs, peanut cans and jars, spaghetti jars, baskets, tissue boxes, popcorn tins, and decorative bags.  Creativity is the limit on the type of container used. Before tossing unused items, I make sure I don’t have another way to use the item before throwing it away. Here are three areas of my house that I have organized using containers:

Linen closet. In my plastic containers, I house light bulbs, candles, extension cords, and all the cords for my holiday village decorations. Having containers for similar items helps retrieving those things very easy. I do not have to waste time sorting and digging through a pile of items.

Children’s bedroom. Though most of the toys reside in either our bonus room or living room, I do allow my kids to have a few toys in their bedrooms. I keep 4 fabric cubes on a bookshelf (that is on its side) in my older children’s bedroom. Each cube holds a different item: books, group toys, son’s toys, and daughter’s toys. If they have a special toy that they would like to keep separate, then they may place that item in their special cube. Having a designated space for their room items helps my children keep their room clean.

Bookshelf. With many scrapbooking items to keep organized for the day I am able to once again preserve my memories, I use numerous boxes and containers to keep these items protected. As you can see from the photograph, I have lots of photo storage boxes. I plan to organize my pictures, and I will take you with me when I tackle that project. In the meantime, I am staying organized with my boxes and albums.

These are some of my solutions to keeping similar items together to save me money, energy, and time. By using what I have on-hand, I do not need to spend money on additional containers. Although I do spend money on containers when they are on sale and will be used for a specific project. I then save energy since I don’t need to dig through and unload a box of items. Having the containers stackable and interchangeable helps me to save time. I can withdraw a container without the entire pile falling and making a mess. Having small manageable spaces keeps me organized, and this system works for desks, car consoles, kitchen utensils, tools, etc. The sky is the limit.
